General Description:

The Athletics and Aquatics Facilities Assistant works under the supervision of the Divisional Director to perform routine maintenance and safety checks of indoor and outdoor athletic and aquatic facilities. The Facilities Assistant is also responsible for organizing and maintaining the inventory and care of equipment and uniforms, processing related orders and payments. S/he is actively involved with special events/tournaments planning and organization. Must communicate effectively with proficiency in English and with members of the wider AAS Community, including students, parents and staff. May require flexible hours for special events.

Maintains the highest levels of confidentiality and establishes professional relationships with staff, coaches, students, and other AAS Community members.

S/he promotes the School and the services provided by the department in all words, actions, and behaviors.

Role Level: non-managerial

Vacation days/year (plan): 28 calendar days

Working hours: 10:00 - 18:00

Qualifications and Requirements:
  • University degree

  • Demonstrated proficiency with common technology applications (Microsoft Suite, GSuite, Outlook, etc.) and ability to learn new technology and applications

  • Legally residing and able to work in Moscow, Russia.

  • Speak, read and write in English fluently, according to the CREF standards, C1 or a C2 level, as determined by the external AAS testing provider

  • Must be eligible to receive a security clearance certification (provided by AAS)

Knowledge, Skills and Abilities:
  • Physically capable of lifting up to 30 kilograms repeatedly, bending/stooping, climbing stairs/safe use of ladders, moving heavy equipment and objects according to manufacturer and regulation safety specifications

  • Relevant experience, preferably in multicultural environment

  • Ability to multitask

  • Strong attention to detail

  • Excellent communication skills, both verbal and written

  • Ability to work independently and as part of a team

  • Ability to work cooperatively and collaboratively with others

  • Demonstrated analytical, problem solving and time management skills

Core Duties:

Indoor and Outdoor facilities

  • Perform routine daily maintenance checks of all aquatic and athletic areas (tennis courts, locker rooms, gyms, fields, and fitness room).

  • Report and follow-up on issues relating to the care, maintenance and safety of facilities to the Athletics Coordinator.

  • Submit facility maintenance requests using the established procedures and systems

Equipment storage

  • Maintain equipment rooms and document equipment inventory according to AAS procedures

  • Recommend replacement or repair of items and report related issues to the Athletics&Aquatics Coordinator.

  • Equipment set up and break down at practices, events and games

  • Regular evening checks to ensure equipment is properly located and facilities are locked after practices, games and events

Uniform storage & care

  • Maintain and track an accurate inventory using MicroSoft Excel or other software

  • Wash uniforms using school-provided equipment

  • Organize storage and care of all athletic uniforms, performing quality and routine checks to ensure care

  • Manage uniform distribution and return with the Athletics&Aquatics Coordinator, students and coaches.

Assistance with purchases, financial and budgeting matters:

  • Works closely with Procurement & Resource Manager related to purchase requests (equipment, uniforms, merchandize, trophies), replacement or repair items with follow-up, according to established procedures

  • Process orders and payments related to the department operations

General communication and administrative support:

  • Continually provide relevant updates on the department program to coaches, students and parents using existing communication channels

  • Assist department in maintaining regular communications with visiting schools and sports officials

  • Strive to support and maintain the principles of best practice in all areas of operation in the department
