Position Summary: The purpose of this position is to assume responsibilities related to the coordination of the logistics to clinical trials project at the warehouse of investigational medicinal products (IMPs) and clinical materials. The holder of this position reports to the Client Services Manager. The position is task/hands-on oriented and reviewed for accuracy and completeness by the Client Services Manager. The position highly impacts on the efficiency and smooth workflow of the daily warehouse operations. The holder of this position is independent in carrying out assigned tasks and is expected to practice continuous self-training on warehouse operations subjects.

Key Responsibilities:
  • Supports all warehouse activities and operational functions related to the specific projects and Clients.
  • Maintains systems and procedures that ensure standards relating to Good Distribution Practice and Health & Safety are complied with.
  • Arranges of preliminary collection of necessary documentation (as contact information, shipping instructions, quotes, MSDS etc.) at the study start up stage.
  • Participates at the meeting and TCs as at the project start up and in routine manner.
  • Arrange the study set up and maintain the project related activities in the database.
  • Arranges and supports the correspondence with Clients regarding status of the projects, including all types reporting for stock movement and availability the clinical supplies at the warehouse.
  • Ensures orders for materials source and labelling are processed according to the Client request.
  • Agrees with Clients and arranges the process of Returns used/unused products from the sites.
  • Maintains documents filing.
  • Verifies the activities of the distribution associate specialists and warehouse operators.
  • Participates in SOP initiation to reflect the operation needs.
  • Assures appropriate communications with distribution associates with regard to their duties and participates in their continuous training.
  • Ensure the timely and appropriate destruction of study materials.
  • Collect and verify all necessary information and reports for monthly project activities. Create the appropriate study invoices in a timely manner.
  • Participates in inventory counts including data processing and discrepancies analysis.
  • Participates in the investigations related to any project issues, performs a thorough analysis of a problem to work out corrective/preventive actions.
  • Takes a lead in case Client Services Manager’s absence.
  • Performs other related project management duties as assigned.
Minimum Requirements/Qualifications:
  • At least 1 year of the practical experience in the pharmaceutical industry and/or in warehouse
  • Extensive knowledge of Good Clinical Practice (GCP), Good Manufacturing Practice (GMP), Good Distribution Practice (GDP) and thorough knowledge of local legislation
  • Good knowledge of the clinical trial supply chain process
  • Excellent communication and organizational skills
  • Proven networking skills – must be able to network internally and externally with client organizations and other service providers
  • Flexible and adoptable, with strong customer orientation skills.
  • Knowledge of Warehouse Database Systems
  • Ability to analyze warehouse problems and define solutions.
  • Ability to work under pressure and to support others within the team.
  • Good communication skills both internally and externally. Ability to understand the client’s requirements and to be able to devise and articulate the most appropriate solutions.
  • Creativity – ability to be confident to the client requests
  • Intermediate knowledge of English
