We are seeking a capable and driven Business Assistant to support the Business Owner in a fast-paced, international business environment. This role blends high-level executive support with operational, organisational, and project-related responsibilities.
The ideal candidate is efficient, detail-oriented, discreet, and fully fluent in both English and Russian (French or Arabic will be an advantage). You’ll play a vital role in supporting international expansion, daily operations, and time-sensitive executive needs.
Key ResponsibilitiesAct as a trusted assistant to the business owner, managing daily operations and task flow
Handle correspondence and calls in English and Russian
Prepare analytical reports
Maintain the executive calendar, schedule meetings, track deadlines, and follow up on tasks
Organise and deliver sensitive Business Owner's documents to various institutions (e.g. notaries, banks, consulates)
Be available on the phone outside of working hours for time-critical or urgent matters when needed
Assist with international company formation, documentation, and regulatory compliance
Liaise with legal and financial institutions to support corporate structuring
Support sensitive business projects with discretion
Prepare and process invoices, payments, and banking transactions across platforms
Track expenses and prepare executive reports
Maintain orderly document flow in English and Russian
Organise international travel (business and family): flights, hotels, logistics
Provide visa applications support
Coordinate participation in exhibitions and business forums (Russia and abroad)
Oversee event logistics, ensuring seamless executive presence and access
Anticipate issues and solve problems proactively to ensure smooth travel and time management
Conduct research, prepare business summaries, presentations, and briefings
Maintain executive presence on business platforms on behalf of the Business Owner (e.g. LinkedIn)
Translate documents (English↔Russian)
Coordinate branded material orders, gift logistics, and digital communications
Confidently work with modern technology, apps, and systems
Assist with setting up and managing online banking, secure accounts, and digital tools
English C1+ (spoken and written); fluent Russian
3–6 years of experience in executive or business assistant roles
Excellent communication, writing, and interpersonal skills
Proficient in MS Office (PowerPoint, Excel, Outlook)
Confident user of digital tools and quick to adopt new systems
Familiarity with Adobe Photoshop/Illustrator is a plus
Additional languages (French, Arabic) are a plus
Absolute discretion, attention to detail, and high personal integrity
